The HSL Computer Lab on the 4th floor of Prior is used for staff, faculty, and clinician training. We previously had an online form for users to request the space. This form did not provide users a view into what events were already scheduled, so it was inconvenient for them and cumbersome to administer. HSL enlisted the help of our internal development team, Digital Solutions. They gathered our requirements and developed a version of the scheduling tool they offer to their customers.
The new online scheduling tool allows users to see the calendar in day, week, and month view. They can select a time that's open, login using OSU credentials and their basic information is pre-populated. Then they enter the specific information about their event and submit for approval. On the back end, an HSL administrator receives an email with information about the new request and a link to the details. They approve with one click and the event is officially added to the calendar. The user receives an email confirmation upon submission and when their request is approved. They also have the ability to login later and edit their event if changes come up. This solution has greatly improved the user experience and administration of the lab.
